I am new to the PTA, and have found my self in the position of vice president.  I am frustrated that we have very poor teacher participation. it was zero untill i spoke with the Principle at our school, about how we could encourage the teachers to participate.  She decided to just make it a teacher requirement, and as you can imagine, that didnt go over so well.

 my biggest problem right now is that we have meetings , plan events, make decisions about upcomming events, vote on things...ect. and the principle and vice principle at our school NEVER attend any meetings. and then they are upset that decisions were made without them. I understand that they cannot make it to every meeting, but i feel if they miss a meeting and want to know whats going on , they should at least say " I am sorry i missed the pta meeting ... what was discussed.  Is it really my job to track them down and make sure , they know whats going on? its not like we are having secret elite underground meetings...lol.  we meet once a month .   any help?  -michelle.

We are lucky that either the principal or the dean is always at our PTA meetings. It sounds like maybe your school hasn't established a good "team attitude" between the PTA, administrators and teachers yet.

Do you meet the same day and time each month? Is there a published schedule of your meetings so that the administrators know for sure when they are?

Have you ever checked in with them to see if the time/day that you are currently meeting works with their schedule?

Do you send out a meeting reminder each month a few days before the meeting? And ask if they have any items for the agenda? Maybe send them an agenda prior to the meeting?

If you are making decisions at meetings about what is going to be going on in the school building and they aren't there, then yes, I WOULD track them down or email them or schedule a private meeting with them or something later to keep them informed about what is going on. As officers and the ones with the information, it is kinda up to you to make sure it gets to the right people. Especially since there may be things you are making decisions on that you need their help, support, approval or input on. The administrators can be very busy and it may not come to mind for them to track YOU down post meeting to find out what happened. They will appreciate it if you make things easier for them by being open about sharing what happened at the meeting. And that will help build up that feeling of "team" in your school.

If they can't make the general meeting, then I think you should schedule a debriefing meeting with the principal as a courtesy.
